Requirement:  Degree Works must reflect 100% completion of degree requirements.

Requirement:  Students must have an active study path (eg. no leave of absence, lapsed or discontinued study status).

Grades Finalised

Requirement: All results must be finalised with no outstanding grades or pending review of grade applications.  Refer to Degree Works.

No Current or Future Enrolments

Requirement: No current or future enrolments should exist under the program you wish to complete.  Refer to Degree Works.

Reach 100% degree requirements in Degree Works

Degree Works allows you to monitor your progress towards your degree.   Follow the steps below to achieve 100% in Degree Works:

Step 1. Register for an Early Exit to confer with one or both components of your double degree

Submit an early exit request if you:

  • wish to exit early from your enrolled award
  • want to graduate with a Diploma from an integrated program
  • want to graduate from the first component of your double degree program
  • have completed an integrated or double degree program and want to graduate with both degrees

Important notes:

  • If you early exit (and are not in a double or integrated program), you must reapply via UAC to continue the full program later.
  • For integrated and double degree programs, early exit from the first component is allowed (as per the Academic Handbook) while continuing with the second component.

How to apply for early exit:

  • Click on the Banner menu on the top left (three horizontal bars)
  • Click on Banner > Student > Graduation > Early Award and Exit Request
  • Check eligibility and submit your application
  • Outcomes will be based on the University's assessment.  Assessment may take up to 10 business days and longer during busy periods.

Step 2. Verify award and program details

Action:  Ensure your award details (Majors, Minors, Concentrations, Teaching Areas, Curriculum Areas etc.) are accurate in MySR.  Remove incomplete items to avoid blocking completion.

Details:  

  • Testamur Majors will be shown on your testamur (degree certificate) and the Australian Higher Education Graduation Statement (AHEGS).
  • Non-Testamur Majors, Minors and Concentrations will be shown on your AHEGS only – please refer to the Handbook or your Academic Program Advisor if unsure.

Additional Scenarios

Bolt-On Degree Programs

If enrolled in a bolt-on program, you must contact your Academic Program Advisor for the bolt-on program requesting the credit for prior learning to be added to your bolt on program.  This can only be actioned after completing all eight subjects in your primary Bachelor program.

Cross-Institutional Studies

If you want your Cross Institutional study to count towards completing your degree, you need to apply for Credit for Prior Learning.  You will need to refer to the graduation deadlines to ensure you submit your application, including all documentation, on time for the next conferral round. You can indicate this in the Credit for Prior Learning (Transfer Credit) form so your application will be prioritised.

Subjects Outside Program Stucture/Rules

If you have studied subjects outside the program structure/rules as per the Academic Handbook, please seek assistance from your school to submit a ‘Contrary to Program Rules ticket’ to have this assessed and finalised by the advertised cut-off.

Program Variation

Ensure your program variation is finalised on your student record.  Respond to your Program Variation application ticket in Western Now if any concerns.

Credit for Prior Learning or Program Transfer

Ensure you have no outstanding Credit for Prior Learning from previous study or program transfer details pending.  Email the University at cpl@westernsydney.edu.au.  Include your full name and student ID number.  If you are an existing Western Sydney University student it should be sent from your student email account.

Step 3. Verify grades and results

Verify Grades Action: Ensure all grades appearing on your record are accurate.  These grades will appear on your academic documents.

Unfinalised Grades Action: For unfinalised or missing grades, contact your school to have these updated with a final grade.

Review / Change of Grade Action: If you are applying or waiting for a change of grade, supplementary exam or results, email studentcompletions@westernsydney.edu.au to move to a future conferral round.

Important:

  • If you apply for a Review/Change of Grade you will be uncompleted and moved to a future conferral round.
  • You must apply for the Review of Grade through the online form.  If you are going through the school directly you must email studentcompletions@westernsydney.edu.au to advise you are submitting a Review of Grade so we can put a hold on your record.  If you do not and the review is upheld, if your record has been completed we are unable the change the details.  You must also inform us when the grade has been updated to have the hold removed.

Avoid delays in your final results

Any activity that results in a delay to your final results leads to your completion and conferral being moved to a future conferral round. Such activities include (but are not limited to):

  • Delays in processing marks
  • Sitting a deferred/supplementary exam
  • Submitting an additional assessment
  • Submitting documentation for disruption to studies or a review of grade
  • Change of Grade not processed by advertised timeline
  • You were given an extension to submit work and results not finalised by advertised timelines
  • Your results are not finalised by the advertised timelines
  • Professional placement / Industrial Experience / Industry Based Learning / grades are not complete
  • Your post census miscellaneous unit is not finalised and transferred by the advertised timelines

Please note: If you have outstanding details, please contact your Academic Program Advisor to review your student record to enable you to move forward in the completion process.

Step 4. Check your progress

To check if you are on track to graduate, please refer to the knowledge article, Am I on Track to Graduate?, and follow these steps:

  1. Check Progress: Use the 'Check My Course Progress' pages in MySR to view your course requirements and monitor your progress towards completing your course and meeting graduation requirements. This page will also indicate your expected program completion date.
  1. Credit Points: Review the total credit points for your program, how many you’ve achieved, and how many are still required for completion.
  1. Specialisation: Check the specialisations (key programs, majors, sub-majors) you’re enrolled in, and make any necessary changes or additions are actioned. Verify which program completion and specialisation rules you have met and what remains to be done.

Graduate Research School - If you study under the Graduate Research School, please contact the school for completion process and timelines.  Relevant cohorts include:

  • Master of Philosophy
  • Doctor of Philosophy
  • Master of Research
  • Bachelor of Research
