Academic Document Terms and Conditions

Please read the following terms and conditions as the information provided may affect your order. You cannot place an order until you have read and agreed to the terms and conditions as follows:

Ordering your documents at the right time

It is your responsibility to order your documents at the right time. Orders are processed in order of receipt and cannot be held for processing at a specific time. Your documents will be produced with the information and results available on your student record at the time of processing.

Please ensure before ordering that you:

  • Do not order documents too far in advance as this may lead to key information not being included and, in the case of Program completion letters, the order being declined
  • Leave enough time for processing and delivery as fast-tracking orders and Express Post are not available

Processing time and delivery details

The estimated delivery time will depend on the type of document you order. Please check the product summary below for the approximately processing and delivery times.

Academic Transcript

Your order will normally be processed in 21 business days (postage delivery is additional).  DEC transcripts will be put on hold for school assessment, please allow 28 business days for assessment (postage time is additional).

Your document will be sent via a secure document email delivery system. Your order will normally be completed and sent via email within 24-48 hours.

DEC electronic transcripts will be put on hold for school assessment, please allow 21 business days for assessment. 

Electronic transcripts are only valid in electronic form, if you print these they will have a watermark advising "not an official document"

Australian Higher Education Graduation Statement (AHEGS) This document is only available if you have been conferred - do not order if  you have not gradauted.  This document is also only available to those who graduated post 2011

Please allow 21 business days for processing with additional time for postal delivery. Overseas destinations may take longer.

Your document will be sent via a secure document email delivery system. Your order will be completed and be available within 15 business days.

Program completion letter

NESA Program completion letter (only available for those students who have completed the full Master of Teaching program and only available in the package option)

Processing of your program completion letter is dependent on the time is takes to assess your application. Timing may vary based on circumstances.  Documents are only processed and posted twice a week.

Assessment may take (this does not include postage time):

  • 28 working days (from results release date) or more if you order your letter   before your final results release or your student record needs to be assessed   by the school
  • approximately 21 working days if you order your letter after your final results release and your student record is able to be complete
  • approximately 14 working days if you order your letter after you have already graduated

We endeavour to process your program completion letter as quickly as possible.

Replacement Testamur

Please allow 21 business days processing time (delivery will be additional) and this is from when we have received all required documentation eg statutory declaration, return of damaged documents etc. If we are required to request your documents from archives this will result in further delays. Overseas destinations may take longer.

Your documents will be sent to the postal or email address you provide when you place your order (these details are not taken from your MySR, if you change your address than that entered when you made the order you need to email studentcompletions@westernsydney.edu.au to advise and update).  If your document has already been posted you will need to wait for it to be returned and resent. Please check that the address information you enter is correct.

Once your order is processed, it can take 10-15 days for orders to be received within Australia (via Registered Post), depending on your location. Overseas delivery (via Australia Post) may take longer. The Australia Post website provides delivery time estimates for your location overseas or within Australia.

Western Sydney University does not take responsibility for lost or undelivered packages if the address/email address provided is incorrect or if you change addresses after placing an order. If this occurs, you will need to place a new order at your own cost.

Delays in processing your order will occur during system outage periods and peak activity periods for results and graduation.

Priority processing or posting

We understand your enquiry may be urgent, however all enquiries are important and actioned as soon as possible.

Your document will be sent via either Registered Post (if your postal address is within Australia) or EMS Courier (if your postal address is outside Australia).

We are unable to accommodate requests for priority processing, Personal collection of documents, faxing or emailing.

External institution deadlines

Western Sydney University is not aware of specific deadlines or requirements set by external institutions. It is your responsibility to check if you need to provide them any documentation and if so place your order allowing enough time for it to be processed, posted and received by the external institution.

If you need to have your documents posted directly to an external institution (hard copy only), you will need to enter the required address in the address field when placing the order.  Electronic transcripts will need to go to your email address and you are then able to share on MyeQuals

Payment and Receipts

Payment

Payment is via credit/debit card only.

Please note the University only accepts Visa or Mastercard.

If you do not have access to our own credit/debit card you will need to purchase a prepaid card from your local supermarket or post office.

The University does not keep a record of your card details.

Receipts

A receipt of your order and a tax invoice will be sent to your nominated email address.

Holds/Encumbrances

Orders will not be processed if you have an encumbrance or Hold on your student record. You will need to resolve the encumbrance/hold before the order will be processed and sent to you. Please contact Student Services Hub at studenthub@westernsydney.edu.au.

Cancellation and refund policy

Electronic documents are not refundable.

Program completion letters are not refundable.

Cancelled orders for all other documents incur an administration fee, which will be deducted from your refund (if applicable). If the document has been processed there will be no refund.

To request a refund, you must email graduations@westernsydney.edu.au and provide the following information:

  • order number as per your confirmation email or tax invoice
  • full name
  • student ID number
  • reason for refund request

Misprint or University Error

If there is a misprint or other error, please email studentcompletions@westernsydney.edu.au. If the issue is a result of a University error, a replacement will be issued free of charge.

The return of the original document may be required in order to issue a replacement.

Document authentication and integrity - electronic documents: these are produced with a unique digital signature that is embedded within the PDF document. This security travels with the PDF and cannot be removed. Any such document received will have a blue ribbon at the top of the certified PDF indicating that the document is verified, authentic and has not been altered in any way.

Name and Branding

The University of Western Sydney officially rebranded as Western Sydney University on 30 August 2015. All degrees and other awards validly conferred by and under the previous name of 'The University of Western Sydney' continue to remain validly conferred and recognised as such.

Replacement Testamurs will be Western Sydney University Branded.
