Agent information

New agent information

Western Sydney University uses Ascent One software to manage and maintain our agent database.

All registered Western Sydney University Agent Representatives must register with Ascent One to be connected to our university for agent communications, agent agreement management, and promotion of your agency on our university website.

Website listing of your agent details

Once new agents have registered with Ascent One, your agent business contact details will be listed on the Western Sydney University Find an Agent page. Please ensure you regularly update your details to allow our future students to find you easily.

Commission payments

Since Spring 2021 commission payments will be managed in StudyLink. You must ensure you regularly update your details in StudyLink to avoid delays in commission payments.

Registration

Western Sydney University will link your agent company to Ascent One.

Step 1: Western Sydney University sends an invitation via Ascent One for Agent to register with Ascent One.

Step 2: Agent receives email inviting them to register with Ascent One.

Step 3: Agent logs in and registers contact details with Ascent One.

Step 4: Western Sydney University is notified when Agent has registered with Ascent One.

Step 5: Western Sydney University links Agent on Ascent One.

Step 6: Agent contact details are automatically updated and listed on the University's website and the university will commence using Ascent One to manage the relationship between the University and the Agent.

Managing commission payments via StudyLink Commission Portal

Commission payments from Western Sydney University is processed via StudyLink.

Once you have logged into StudyLink, you will be able to review a record of all students (except Higher Degree Research students) recruited to Western Sydney University and commissions owed to you. 

There is no need to approve payments as they are automatically approved at the end of the review period.

You must ensure you regularly update your details in StudyLink to avoid delays in commission payments.

  • Log in to StudyLink
  • Review your commission record
  • There is no need to approve payments – they will be automatically approved at the end of the 14 day review period. (If you dispute a payment, you can select the ‘Dispute Missing Payments button above the transaction list, or against a specific transaction).

Commission payments via StudyLink will only apply to students who have been recruited to the University from Spring Session 2021 (July, Semester 2, 2021). Please continue to submit invoices for students recruited prior to Spring 2021 by sending them directly to wsifinance@westernsydney.edu.au

If you don't have access to StudyLink Commission portal, please email support@studylink.com to organise your login access and password.

Existing agent information

Agent Management System for existing Agents

Western Sydney University now uses Ascent One software to manage and maintain our agent database. Ascent One is linked to Find an Agent page, therefore agents must ensure their contact details are up to date to appear on this page

Ascent One is used for the following functions:

  • Agent contract management
  • Publication of Agent contact details
  • Agent communication
  • Ordering of University marketing material

All current Western Sydney University Agents are linked to Western Sydney University on Ascent One.

To access Ascent One you will need to login using your registered username (email address) and password.

If you have lost or not received your login details, please contact Ascent One and quote your full company name.

If you cannot recall your password, please put your email in the Ascent One username field and click 'forgot your password'.

Please ensure your details are up to date so that you can continue to receive all communications from Western Sydney University.

Financial information for agents

This page lists general advice only. For details in relation to terms and conditions for payments refer to your Western Sydney University Agent Agreement. Please note, if you charge a fee to students for agency services which relates to applications, you must tell the students that it is a fee between you and the student and is NOT required by Western Sydney University and does not form part of any payment made by them to us. Any issues or concerns relating to commission payments are to be directed to your Regional Manager.

Commissions

An agent is considered to have recruited a student when all of the following apply:

  • the agent submits the student's application for admission and that application bears the agent's name
  • the agent submits an acceptance by the student of any letter of offer from us for a place in a Western Sydney University program
  • the agent submits written verification that the student has paid the program fee.

We will pay commission for each student who:

  • has been recruited by the representative in compliance with the Western Sydney University and The College Agent Agreement
  • is enrolled in a program at Western after census date for each session
  • has remained continuously enrolled in that program at Western for a period exceeding four weeks
  • has paid the respective program fee and any other required fees to us

We will not pay a commission if a student recruited by the agent at any time undertakes a program offered by Western Sydney University other than those specifically identified in the application for enrolment and for which the student was first recruited by the agent.

Commission details for each student will be loaded into StudyLink and sent to each Agent for verification after census date for each session.

An agent must log into StudyLink to review commission details sent by Western Sydney University. There is no need to approve payments as they are automatically approved at the end of the review period.

If the agent does not agree with the information provided, they can dispute the commission details and leave a comment.

Any issues or concerns relating to commission payments are to be directed to your Regional Manager.

Refunds

Students are to complete the Request for Fee Refund – International Students Only form. This form can be used for both Western Sydney University and The College applicants/students seeking a fee refund. When a sponsoring body or scholarship agency pays the student's fees, any refund will be paid to that sponsoring body or scholarship agency.

The student must provide relevant documentary evidence, together with the mailing address where they want the refund to be sent.

The exact refund students will be entitled to depends on the reason why they need a refund and how quickly they notify Western Sydney University or The College in writing.

Any issues or concerns relating to refunds are to be directed to your Regional Manager in the first instance.
