Student Compliance for NSW Health Placements

If your course includes a placement in a NSW Health facility, you must meet NSW Health Student Compliance requirements before attending placement.

Student Compliance applies to students enrolled in programs that require NSW Health placements. To be eligible for placement, you may need to provide evidence of immunisations, complete NSW Health forms, and undergo checks such as a National Police Check.

What is Student Compliance?

Student Compliance is the process where your documents and evidence are assessed by NSW Health against required policies.

Once assessed, you will receive one of the following outcomes:

  • ‘Compliant’ – you are eligible for placement (Some items will expire). Refer to InPlace for what will expire on what dates.
  • ‘Temporary Compliant’ – you haven’t met all requirements; however you are you are eligible for placement for up to six months. Your outcome will expire, and revert to ‘not compliant’, and be removed from placement. You can only be ‘temporary compliant’ once in your first 9 12 months with Western. Once it expires, you must complete all outstanding requirements to become ‘compliant’.
  • ‘Not Compliant’ – you are not eligible for placement. You have not met the minimum requirements. There is further action required for you to become ‘compliant’.

Your School may require you to be fully compliant early in your course, even if your placement is scheduled for later.

Important things to know

  • You must complete compliance in your first year, even if placement is later
  • It can take several months to meet all requirements, so start early
  • You are responsible for ensuring your documents remain valid and up to date
What do I need to do?

Follow these key steps outlined below to complete your Student Compliance:

1. Check Your Requirements and Complete the Quiz

Start by reading your program subjects in the Western Handbook and your Subject Outlines to confirm you need to be assessed. Then log in to vUWS, find the “NSW Health Student Compliance” companion site, and complete the “Preparing for Student Compliance” module and quiz. This will make sure you know exactly what is expected before you collect anything.

2. Collect Your Vaccination and Immunity Evidence

You need to show evidence of protection against certain infectious diseases. The best place to start is by downloading your Immunisation History Statement (AIR) from Medicare. You can also use a Vaccination Record Card (every entry must be dated, stamped, and signed by a doctor or a vaccination provider) or blood test (serology) results. Do not go and get vaccinations yet — wait until NSW Health tells you what you need. Note: This BBV (blood‐borne virus) requirement applies to Midwifery, Medicine, and Paramedicine students only.

3. Get Your Student ID Card and Police Check

You need two identity documents. The first, your Student ID Card (SID). Second, a current Australian National Police Check (NPC) in colour, issued within the last five years. Both must show your full legal name, including all middle names. International students need an international criminal history check (ICHC) from an AHPRA-approved ICHC supplier. 4. Complete the Three NSW Health Forms

All students must complete these three forms (they can be done online):

Use your full legal name, your Western student email, and your Student ID number. Dates must be written as DD/MM/YYYY.

5. Combine Everything and Be Ready to Submit

  • Scan all your documents — Student ID card, vaccination evidence, police check(s), and the three NSW Health forms — and combine them into one single colour PDF file under 5MB. Then wait for an email from the Student Compliance team telling you when and how to submit. Keep copies of everything, as Western does not retain your documents after assessment.

You may be required to provide:

  • Immunisation evidence

    • Immunisation History Statement (Medicare)
    • Vaccination record card
    • Blood test (serology) results
  • National Police Check (NPC)

    • Must be current and match your legal name
  • NSW Health forms

    • Completed and signed
  • Student ID card
