Legal Documents
The University Records & Archives Management Policy outlines the following requirements for the management of legal documents:
(29) As soon as practicable after execution, the relevant organisational unit must forward the signed legal document to Records and Archives Management Services (RAMS), in accordance with RAMS procedures.
RAMS will:
- Upload and register the legal document in Content Manager (TRIM)
- Ensure the document is securely managed within the relevant organisational unit’s folder in Content Manager (TRIM)
- Apply and update access permissions for the responsible organisational unit.
RAMS has developed a Legal Document Cover Sheet to support the effective management of legal documents. The cover sheet captures key information, including:
- Who is authorised to view the document in Content Manager (TRIM)
- The document expiry date.
- The parties to the contract.
- The name of the business unit responsible for the contract.
GIPA Contract Information Database
Under the Government Information (Public Access) Act 2009 (NSW), the University is required to maintain and publish a register of contracts with a value of $150,000 or more.
Any University business unit that enters into a contract or purchase with a value of $150,000 or more must provide the required contract information for inclusion in the register. Further details are available via Contract Reporting
