Email Template Shortcuts
If you use email templates often you can create shortcuts to open the template. Here are three variations with different approaches.
Add a new item to your Quick Steps
You can save a shortcut in the Quick Step group on the Home ribbon.
To do this you must create the template as you go.
- From the Home tab, in the Quick Steps section of the ribbon, choose Create New.
- Type a name for the quick step.
- Under Actions, in the Choose an Action box, click the small arrow to show the list.
- Scroll down to the Respond section and choose New Message
- In the TO box, type an email address if required.
- Click the Show Options link.
- Enter Subject.
- Enter the template text. (or copy text from an existing template)
- From the Shortcut Key drop-down box, select a predefined shortcut, if required.
- Click Finish.
It will now appear in the Quick Step section. Click the quick step item name to open the template.
Add a shortcut on the Outlook Ribbon
You can add a shortcut on the Home ribbon, to open the template folder (not directly to a template).
- From the File tab, choose Options.
- Select Customise Ribbon.
- In the right pane;
- Click the New Group button and then the Rename button to name it.
- Type the name and click OK.
- In the left pane;
- In the Choose commands from box, choose All commands .
- Scroll down to Choose Form and select it.
- Click Add.
- Click OK to save changes.
- This icon will open a Choose Forms window.
- In the Look In box, choose User Templates in File System and select your template.
Use a Desktop Shortcut
You can create a shortcut on your desktop to open a Template;
- Locate your template folder;
C:\Users\"User Name"\AppData\Roaming\Microsoft\Templates - Locate your template. (It ends with .oft)
- Right click the template, choose Send To then Desktop (create shortcut)
