What does a new SMS mean for you?

Although the new SMS doesn’t go live until October, there is plenty we can all be doing in the meantime to get ready and help create a smooth transition between systems.

1. The new subject codes will be reflected on the SMS and its integrated systems like Syllabus and Allocate+, the invoices, the new handbook, all the reporting and we are working on the websites to follow suit. If you have any communication materials that use unit codes and you think it may cause confusion, please update them on or before October 4 2021.
2. The team has been engaging with the schools on ITDS supported systems that rely on Callista or Discoverer data. If you have any databases or systems that are not currently ITDS owned and supported, bear in mind that it will not continue to be supported once we Go-Live so raise it with the team if you are unsure.
3. Spread the word and let your team know about these changes. It is a change that will affect almost everyone in the University. The more awareness we build, the better we will be for go-live later this year.
4. The rise of the new elements of the SMS comes with retiring systems that the new SMS can perform. Some of these are the eForms and OATS. Keeping on top of requests in these systems and clearing backlogs will help avoid duplication of effort or manual processing around the transition time.
5. Come along and be proactive at sessions, ask questions and get in touch with the SMS Project Team with your questions and to find opportunities to get involved in the new SMS.

What is the Student Management System?

Student management systems (SMS) are IT systems and associated processes that support the management of all phases in the student lifecycle including: admissions, enrolment, student records, student finance, student support, course and unit management, assessment and examination, student progression, and graduation and all the associated reporting including legislative and compliance requirements. Student management systems integrate with other existing systems such as timetabling and student placement.

An effective student management system contributes to every interaction with the University being positive, and also supports staff in providing the best service possible to students. The student will be clear and confident about the admission and enrolment process, able to make good decisions about their academic journey and feel successful and fulfilled at their graduation.
