Confirmation of Overseas Travel (COT)

All students participating in an overseas experience are required to complete the Western Sydney University Confirmation of Overseas Travel (COT). This includes undergraduate, postgraduate coursework and research students.

The COT is an important multi-purpose form that:

  • Records a student’s overseas activity and provides information for university insurance
  • Creates a profile on University Travel Management System
  • Allows some students to apply for a Grant or Scholarship (conditions apply)
  • Generates an Official Confirmation email from Western Sydney University that can used for Centrelink, visas, or other purposes.

Evidence Requirement

  • Before submitting the COT, make sure you have the required evidence:
    • Semester/Short Term Exchange
      • Acceptance letter from Host University
      • Signed Academic Approval Form
    • Short term Programs
    • NCP/Endeavour Program
      • Copy of your NCP/Endeavour Offer letter
  • What is an Official Acceptance/Confirmation Letter?
    • An Official Acceptance must have:
      • The program name in which you are participating
      • Your full name
      • The dates of participation
      • The overseas university or provider letterhead with their logo
      • The overseas university or provider contact details

Travel Grants and Scholarships

  • Students participating in the Go Global Exchange Program, Short Study Programs, Internships Abroad, and Volunteer Abroad programs may be eligible to apply for Travel Grant or Scholarship.
  • The following programs are not eligible:
    • New Colombo Plan Mobility Program
    • New Colombo Plan Scholarship
    • Endeavour Leadership Program
    • Programs that are not listed on the Go Global website
    • Programs that are not offered by Western Sydney University’s preferred providers
    • Any program indicated by Western Sydney International
    • Any travel that is retrospective (after returning from overseas)
  • Funding
  • Student Mobility Travel Grant (short term)

    Student Mobility Travel Grant (Semester-Year)

    International students may be eligible

    International Exchange Scholarship (Semester-Year)

    $1750

    Domestic students only. International students are not eligible

    To apply for a Student Mobility Travel Grant or International Exchange Scholarship, complete the Confirmation of Overseas Travel (COT) below. Make sure you have  your Bank account deposit details. 

    Please note, the COT is processed after the 15th of every month. If you are applying for funding, the payment into your nominated bank account may take up to 6 weeks after the processing date.

Before continuing, make sure you have:

  • Evidence confirming your participation (see requirements above)
  • Information about your overseas activity – travel dates, intended destination, host country
  • Bank deposit details (for students applying for a grant or scholarship)
  • Completed the Before I Go Online Pre-Departure Tutorial  (currently under review)
