Check Your Eligibility to Graduate

In order to graduate from Western Sydney University you must be eligible! Please read this page carefully to determine if you are eligible for Completion/Conferral. You need to have your completion details checked by your Academic Program Advisor prior to end of session and finalised by the advertised timelines (the graduation team is not able to answer academic enquiries)

If you’re in your final term of study, most of you will no longer need to register to graduate (Exceptions - if you wish to exit early from your enrolled award or if you are wanting to graduate from your Diploma in an Integrated Award or graduate from a the first component of your Double Degree - you need to register through your MySR and self nominate you wish to early exit ). In the weeks following your final results your student record will be assessed to confirm you are ready to graduate and arrange for your award to be conferred. Further information available under Conferral Deadlines .  You will be picked up for completion in the next appropriate round - this process is dependant on the system being built and all details working - delays may occur if manual processing is required.

Please be aware conferral is no longer linked to an event.  The event is managed by the events team (if you have enquiries relating to the event, please call the Student Services Hub on 1300 668 370).

To have your Program completed during the next Conferral period

You must have the following finalised by the deadlines (no extensions, if you are not ready for completion you will be moved to the follow conferral month):

Your Academic Program Advisor must:

Confirm that you've completed all program requirements for your degree and are eligible to graduate.  If you have not followed the program requirements your Academic Program Advisor must submit a Contrary to Course Rules WesternNow Ticket through IT Student Systems (this may delay your conferral to the next conferral round) If you are unsure about your graduation status or you need advice, please contact your Academic Program Advisor - the graduation team is not able to do this.

Submit Your Thesis Before Graduation

Are you a research student?  If you are a Research graduate, you must follow communication and details as provided by the Graduate Research School (GRS). To be included in the next official conferral round your completion details must be finalised by the date provided by GRS otherwise your conferral may be delayed until the following round. Holds (Encumbrances)

You must clear all outstanding debts with the University before you can be completed/conferred. This includes:

  • Tuition Fees
  • Student Services and Amenities Fee (SSAF)
  • Loans
  • Library fines
  • Equipment fees

Potential Graduates with outstanding debts will not be permitted to graduate. If your debt is not cleared before the advertised completion/conferral dates, you will not be included on the graduation list until all debts are cleared. Advise Graduations

Once you've cleared any debts, please ensure that you advise the Graduations Team by submitting a WNOW (opens in new window) ticket selecting “student service” “student administration” “graduations”

Have all outstanding results resolved

Any activity that results in a delay to your final results leads to your completion/conferral being moved to a future month. Such activities include (but are not limited to):

  • Sitting a deferred exam
  • Sitting a supplementary exam
  • Submitting an additional assessment
  • Submitting documentation for special consideration
  • Misconduct hearings (regardless of final outcome)
  • Your results are not finalised by the advertised timelines
  • You are currently enrolled
  • You have outstanding grades
  • Professional placement / Industrial Experience processing/ Industry Based Learning / grades are not complete
  • You have advanced standing or course transfer details still pending
  • Cross Institutional details are not finalised
  • Your post census miscellaneous unit is not finalised and transferred by the advertised timelines
  • You were given an extension to submit work and results not finalised by advertised timelines
  • You have not met course requirements by the advertised timelines (regardless of cps achieved)
  • Cross Institutional study results are post our advertised timelines, unfortunately we are unable to extend our timelines
  • Delays in processing marks
  • You have not received an honours level for honours courses
  • You have not met course requirements by the advertised timelines (regardless of cps achieved)
  • Cross Institutional study results are post our advertised timelines, unfortunately we are unable to extend our timelines
  • Delays in processing marks
  • You have not received an honours level for honours courses
  • Change of Grade no processed by advertised timeline
  • Course variation not finalised on student record
  • Enrolment issues not finalised
  • You are doing the GPA neutral scheme (2021 only)
  • Submitted documentation for a review of grade

If you have outstanding details, please contact your Academic Program Advisor requesting them to finalise outstanding details to enable you to move to completion/conferral, this is not the responsibility of the graduation team.

Degree Status

If you have been identified as a potential graduand for the current conferral round, your degree status will be one of the following:

EG – Approved to Graduate:

You have been identified as a "potential graduand" for the current conferral round. Your status needs to be approved by the School Academic Committee and Academic Senate and all course requirements met and approved before you are eligible to graduate.

GA – Graduate Approved:

You have satisfied academic requirements for your program: your results have been officially released, you have completed your program requirements, and you will be conferred in the upcoming conferral round. You are now a "graduand".

Once your degree has been conferred you will be a "graduate", and your award will be posted in the 4 weeks following the conferral date if all payments has been received Postage charge for documents within Australia is $30 and outside Australia is $55, when you select the relevant option, the cost is auto populated.

GR – Graduation Revoked:

Your graduation has been blocked. Please ensure that you clear all your outstanding debts with the University and finalise outstanding grades prior to next conferral round deadlines . Debts include all fees, loans, library fines, and outstanding equipment. If your graduation status is Revoked, you will not be able to view any graduation information until the block has been removed. Once you have cleared your debt you must contact the Graduations Team by submitting a WNOW (opens in new window) ticket selecting “student service” “student administration” “graduations” to ensure that you have been added to the graduation list .

Check Graduating Program Name and Specialisations (Majors / Minors)

Please check that your specialisations are shown correctly (Majors, Minors etc.).

Testamur Majors will be shown on your testamur (degree certificate) and the Australian Higher Education Graduation Statement (AHEGS).

Non-Testamur Majors and Minors will be shown on your AHEGS only – please refer to the handbook or your Academic Program Advisor if unsure.

If you have completed study allowing you to graduate with Honours, check that your level of Honours has been added to your record. If your level of Honours is not reflected on your record, contact your Honours Coordinator promptly to ensure the information is added by the advertised timeline otherwise you may be moved to a future conferral.

If you believe you have met the requirements to be awarded Distinction or University Medal, check that this has been added to your record. If you are unsure whether you are eligible to graduate with Honours, Distinction or a University Medal, refer to the Graduation Policy / Document / Policy DDS (westernsydney.edu.au)

Date of Completion

This is the date that your record has been assessed by administration and your record marked complete.  This date will appear on a Program Completion Letter or transcript prior to your conferral.

Conferral Date

This is the date on which your award or degree is conferred. Conferral is the process by which your degree is awarded. You are considered a graduate of Western Sydney University once your conferral date has passed. Awards are conferred monthly. The conferral process is separate from the graduation ceremony  when the graduation event takes place.

Name on Testamur

In mySR check that your Name on Testamur is your full legal name. This is the name that appears on all your official documents from the University including your testamur (degree certificate) and the Australian Higher Education Graduation Statement (AHEGS). Your student record should be held in your full legal name.

If you need to change your personal details, you will need to complete the following form.

Changing your personal details | Western Sydney University

You need to complete this form and lodge it with Student Services Hub if you want:

  • To graduate under a name that is different from what currently appears on your student record. You must provide proof of your legal name (e.g., Change of Name certificate, marriage/divorce certificate, passport). Copies of documents will not be accepted unless they are certified copies.

Your testamur and student record should show your full legal name. Notify the Graduations Team via email graduations@westernsydney.edu.au immediately you have completed the above steps and prior to the advertised deadlines to notify us that you have submitted correct documentation for your name to be changed or charges may be incurred for any changes.

No titles will be printed on the testamur.
No brackets will be printed on the testamur

What are Graduation Documents

Your graduation documents include your testamur and AHEGS. They will be mailed to you after your award has been conferred. They will not be presented during your graduation ceremony.  For more information, please see the AHEGS webpage.

How do I pay to have my official documents posted

Please be advised to receive your official documents you will need to pay through the Payments system:

It is important to note that Payments is your own account (not a University system and not linked to your student account) - you must create an account to make payment.
